Effective October 4, 2026
Your information,
explained clearly.
This policy explains how Even Flow Inc. collects, uses, stores and shares information when you visit this website, contact us, request or receive services, review or approve an estimate, or receive an invoice or project report.
Even Flow Inc. uses information to respond to you, provide requested services, operate the business and improve this website. We do not sell or rent your personal information. Optional Google Analytics remains off unless you approve it.
1. Information handled on this website
The hosting, application and security services that deliver this website and its embedded request form may automatically process technical information such as your IP address, browser and device type, requested pages or resources, referring page, date and time, and security or error logs. This information helps deliver, troubleshoot and protect the website and form.
Calling or emailing uses the phone or email application on your device. The optional maintenance reminder is created in your browser from your selected date and equipment type. These selections are not sent to Even Flow Inc. You choose whether to import the file into your calendar app.
For information about browser storage and optional analytics, see our Cookie Policy.
2. Service requests, estimates and approvals
The Request Service page collects information you choose to provide, including your name, mobile number, email, customer or referral information, preferred response method, service address, property type, whether the property is for sale, service requested, urgency and details about the work. We use this information to evaluate your request, respond to you and arrange service. Do not include passwords, payment information or medical information in the request.
Our request application, provided through AppDeploy, saves the request before sending notification emails. A saved request may therefore remain even if email delivery fails. It also retains the exact acknowledgment and permission wording shown with the request, the applicable versions, whether each acknowledgment or permission was accepted, and the date and time.
The current form uses one “Agree & send request” submission to record acceptance of the project-media and promotional-media terms in Section 9, along with the other acknowledgments presented. Promotional-media permission is included in that submission; it is not a separate optional checkbox. Submitting a request does not authorize paid work or book an appointment. An appointment requires personal confirmation from Jeff.
When you review or approve an estimate remotely, we retain related customer and property details, the proposal and attachments, recipient information, typed signer name, selected option, applicable terms version, acknowledgments and approval date and time. These records document the estimate and the approval or agreement. Technical information processed by the application’s hosting and security services is described in Section 1.
3. Google Analytics
If you select Accept analytics, Google Analytics may receive information about pages viewed, approximate location, browser or device characteristics, referring sources and interactions such as appointment, telephone and email button selections. Google Analytics uses identifiers and first-party cookies to distinguish visits and sessions.
The Google Analytics tag used by this site is G-5GSXKBNPQV. Advertising personalization signals are disabled in the site configuration. You may reject analytics without losing access to the website or appointment form, and you may change your choice at any time through Cookie settings in the footer.
4. How Even Flow Inc. uses information
- To review and respond to service and appointment requests
- To prepare estimates and communicate about appointments, authorized work, invoices, project reports and warranty matters
- To provide, document and improve services and keep records of approvals and permissions
- To understand website performance when analytics permission is given
- To maintain security, prevent misuse and meet legal, tax, licensing and recordkeeping obligations
Our service applications, including FIELD, handle equipment information, measurements, technical observations, job notes, project documents, photos, videos and video stills. Records may be kept in application databases, file storage and email, as well as working copies, drafts, original media or backups on devices used to perform the work.
We use AI-assisted tools through AppDeploy to support technical analysis and draft estimates, invoices and project reports. These tools may analyze job photos, video stills, equipment information and images of instrument displays. Information processed for these tasks may include customer names, service addresses, project details, scopes of work, job notes, diagnostic conversation history and images.
Some inspection-report emails include a small image that records when the message is first opened. Image blocking, caching and automatic image loading can affect the accuracy of that record. This email-open tracking is separate from the website analytics choice.
Rejecting optional Google Analytics does not disable the processing needed to handle your requests, communicate with you, provide services or keep related business records.
5. When information may be shared
We use the following providers to help operate our website and service workflows. They receive or store information needed for their roles and may handle it under their own policies and contractual obligations.
- Netlify: hosts and delivers the public website and processes technical request information.
- AppDeploy: delivers the request form and FIELD service applications, provides application data and file storage, and supports AI-assisted analysis and drafting. Information may include contact and property details, service requests, job records, documents, media, approvals, permissions and technical or error information.
- GoDaddy-provided business email and Microsoft 365: support our business email, including delivery through Microsoft Graph of service-request messages, confirmations, estimates and inspection reports. These services process recipient details, message content and attachments.
- Cloudflare Workers, D1 and R2: support certain internal service applications, job records and storage of project photos and videos.
- jsDelivr, operated by Volentio JSD Limited: delivers JavaScript used by the embedded request form and processes technical delivery information. See the jsDelivr Privacy Policy ↗.
- Google Analytics 4: processes optional website analytics only when you give permission, as described in Section 3.
- Intuit QuickBooks: supports customer accounting, invoicing and related payment records, including customer and contact details, invoice amounts, due dates and balances.
AppDeploy identifies supporting infrastructure and AI providers in its published subprocessor list ↗, including Amazon Web Services and Google services such as Gemini API and Vertex AI where configured. See also AppDeploy’s Privacy Policy ↗ and Data Processing Addendum ↗.
Information may also be shared with other service providers that support our business; with manufacturers, suppliers, subcontractors or other professionals when reasonably needed for authorized work; or when required by law, safety or the protection of legal rights. Project-media uses and permissions are described in Section 9.
The new website does not currently load a separate Google Ads remarketing or advertising cookie.
6. Retention and security
Information is retained as reasonably needed to handle requests and services, maintain business and accounting records, document approvals and permissions, and meet applicable warranty, tax, insurance, legal and dispute-related needs. Retention depends on the type of record, the service relationship, applicable requirements and the processes of the providers involved.
Relevant copies may exist in application databases, file storage, email, working devices and backups. Retention and deletion timing can differ across these locations and provider systems; there is no single automatic deletion period for all records. Analytics retention follows Even Flow Inc.’s Google Analytics settings.
Reasonable safeguards are used to protect information. No internet transmission or storage system can be guaranteed completely secure.
7. Your choices and requests
You can reject optional analytics, reopen Cookie settings, clear browser storage, or use browser privacy controls. You may contact Even Flow Inc. to ask about personal information provided directly to the company or to request a correction or deletion, subject to records that must be retained for legal or legitimate business purposes.
8. External services, children and updates
Links to other websites take you to services controlled by those providers. This site is intended for adults seeking home or business services and is not directed to children under 13. This policy may be updated when the website or its services change; the effective date above will be revised.
9. Project photographs and video
For service requests submitted through the form displaying these terms, clicking “Agree & send request” gives the following authorization. This applies only to areas and materials you own or are authorized to permit us to document; it does not grant rights belonging to other people.
I authorize Even Flow Inc. and personnel acting on its behalf to take photographs and video of equipment, relevant interior and exterior property conditions, and work before, during and after the project. These materials may be used to evaluate conditions; prepare estimates and recommendations; coordinate, perform and document work; prepare invoices; address warranty, insurance or dispute matters; and conduct internal technical training. Relevant materials may be shared with subcontractors, chimney professionals, electricians, suppliers, manufacturers and other service providers as reasonably needed for those purposes. I am the property owner or am authorized to give this permission for the affected areas. This authorization does not include public advertising, recording private conversations, or depicting people without their separate permission.
I also authorize Even Flow Inc. to reproduce, edit, display and publish project photographs and video, including before-and-after comparisons, on its website, social media, advertising, portfolio and educational or training materials, without compensation to me. This permission covers media created for this project and any media I provide and identify for these uses, to the extent I am authorized to grant permission. Even Flow Inc. may use service providers to prepare and publish these materials. Public materials will omit or obscure faces, names, house numbers, precise addresses, license plates, personal documents, security details and other information reasonably likely to identify the customer or household, unless separately authorized. Edits must not materially misrepresent the work or imply a customer testimonial or endorsement. I may withdraw permission for future promotional use by contacting service@evenflow.plumbing. Even Flow Inc. will stop new promotional uses and remove affected material from digital channels it controls within a reasonable time; it cannot recall printed materials already distributed or copies outside its control.
This notice does not retroactively expand permissions for earlier requests. Discuss any site restrictions with Jeff before photography begins. A request does not authorize paid work.
Project records are protected with reasonable safeguards and retained as reasonably needed for service, warranty, accounting, legal and dispute purposes. Customer-provided media remain subject to their owners’ rights.
